Fit and first steps
Who is Philanthropy by Grey Mirror for?
Nonprofits, foundations, and grant-funded organizations, including fiscal sponsors and regrantors. We are built for work that crosses job descriptions: launching a public program or platform, building a grantmaking operation, carrying a funded program through delivery, or handling other work that requires several disciplines at once.
When is Grey Mirror a strong fit?
The work is underway or ready to move, backed by leaders who can make decisions and commit resources, and tied to real stakes or deadlines. It crosses several roles or disciplines, and the organization lacks capacity to carry all of it. A newly forming organization can still fit when leadership is ready to act.
Do we need to choose a service?
No. Our six capability pages show recurring places where connected work becomes tangible; they are not packages, departments, or boundaries around an engagement. Show us what you are trying to make real, what is already true, and where progress is breaking down. What happens after we send an inquiry?
Jake reads every inquiry personally and replies within 24 hours. If the fit looks strong, we review the organization, relevant public evidence, and the context you choose to share before meeting. The first conversation starts from that preliminary read, tests it against what you know, and identifies a useful first move. If we are not the right team, we say so plainly. See the whole path.
What is a prepared first read, and what is it not?
It is a focused, evidence-based view for an inquiry that looks like a fit: what appears true, what may actually be slowing the work, and one useful way to begin. It may take the form of an annotated review, slides, audit findings, examples, a sketch, or a demonstration. It is not a promise of a free full audit, prototype, strategy, or custom build.
We already have capable staff. Do we still fit?
Yes. We are not a replacement for capable staff. We organize and execute connected work that falls between roles, vendors, or deadlines, while your people keep the knowledge and decision authority only they can hold. The model fits when the need is bigger than one hire or one specialist, not when you simply need extra hands.
Retainer and priorities
What does the retainer buy?
A flat monthly retainer reserves multidisciplinary execution capacity, not a preset list of deliverables. The proposal identifies the capacity reserved, expected team participation, initial priorities, and how many connected workstreams are expected to move in parallel. The fee is not calculated as a percentage of funds raised.
How do we decide what moves first?
Your leadership keeps final decision rights and sets the nonnegotiables. Together we maintain a shared priority stack. Grey Mirror surfaces dependencies, recommends sequence, and keeps work and decisions visible. When priorities change, the same accountable team can redirect within the capacity reserved instead of renegotiating a service catalog. More capacity supports more parallel work; less capacity requires more sequencing.
What are the fees and commitment?
We do not publish a dollar price because the right capacity depends on the work, urgency, and number of workstreams that need to move at once. The same team serves organizations from small staffs to one moving over nine figures a year in donations. After the prepared conversation, we recommend an honest level of capacity. Our standard structure is a three-month minimum, then month to month, with prorated refunds after the minimum. The signed engagement agreement controls the final terms and any exceptions.
Range without a service menu
Do you work with foundations?
Yes. A foundation’s work can connect program design, diligence and onboarding, grantmaking operations, portfolio tracking, learning, and board reporting. We help make that chain operate as one system while leadership keeps grantmaking authority.
Do you work with fiscal sponsors and regrantors?
Yes. Their work often multiplies across a portfolio and carries obligations in both directions. We can connect eligibility review, subaward and disbursement administration, project-level records, monitoring, and consolidated reporting to the wider program and partner experience, while legal and accounting judgment stays with the appropriate professionals. Do you write grants or guarantee funding?
We write grants and carry the operating work around them: readiness, pursuit, award setup, delivery tracking, documentation, reporting, renewal, and planning. Funding enables programs, teams, infrastructure, evidence, and continuation; it is not the gateway to every engagement. We do not guarantee funding because funders make those decisions.
Are you a grant writer, agency, consultancy, or staffing firm?
None of those labels captures the relationship on its own. We may write a grant, shape strategy, design a program, build a product, or improve an operating system. But you are not buying an isolated deliverable, advice your team must implement alone, or temporary people for you to manage. You are reserving an accountable team that can follow the work across disciplines and through execution.
Who actually does the work?
The Grey Mirror team: nine people across delivery, finance, technology, systems integration, partnerships, governance, and legal coordination. You retain Grey Mirror, not a rotating marketplace of freelancers, and we bring in the disciplines the work requires. We do not pretend every team member is on your account full time. Diligence
Who is behind Philanthropy by Grey Mirror?
Grey Mirror LLC, a private company. Philanthropy by Grey Mirror is its dedicated vertical for nonprofits, foundations, fiscal sponsors, regrantors, and grant-funded organizations, not a separate corporation or a nonprofit. Accountability sits with Grey Mirror LLC. Read about the company and team.
What experience do you have with nonprofits?
Grey Mirror has worked with and advised more than 100 nonprofits, from small teams to one organization moving over nine figures a year in donations. We work discreetly and do not name clients without express permission. Bonnie Sachatello-Sawyer of Hopa Mountain gave hers.
How are ownership, account access, and deliverables handled?
The signed engagement agreement defines account control, Grey Mirror’s access, the deliverables included, and any intellectual-property rights assigned or licensed. Third-party platforms, software, fonts, data, and other licensed materials remain subject to their own terms. Leadership keeps final decision authority, and the handoff plan explains how access changes or ends.
How do you handle confidentiality and access?
The engagement agreement defines what the team may access, where work product lives, the confidentiality obligations that apply, and how access changes or ends. We do not use a client’s name or nonpublic work in marketing without written permission. More on responsible access.
Are you a law firm or accounting firm?
No. Where legal, accounting, or audit judgment is required, that judgment stays with the appropriate licensed professionals. We execute and coordinate around them rather than substitute for them.
What role do AI and engineered workflows play?
They support research speed, repeatable processes, evaluation, and economical execution across disciplines. They do not define the engagement or replace judgment. The Grey Mirror team remains accountable for the work, and your leadership keeps final decision authority.
